AI Agents for Sales: How to Delegate Email Drafting and Quotes

Summary

Sales emails and quotes are tasks an AI agent can take on well. But if you let it send messages or finalize prices, you can run into legal trouble or damage client relationships. This article sorts out, task by task, what to give the AI and what people should keep.

When you use an AI agent to make sales more efficient, do not hand over the sales job as a whole. Break it into tasks first, and decide which parts the AI handles and which parts people decide. This article uses three examples: replies to inquiries, emails to prospects, and quotes.

Break Sales Work into Tasks

Sales work splits into four tasks: research, write, send, and decide. AI agents are good at research and writing. Sending and deciding produce results that reach the client, so start with people owning them.

A useful rule of thumb is whether a mistake can be undone. A draft can be fixed any number of times. A sent email or an issued quote cannot be taken back. Put one human check before any task that cannot be undone.

Do not use research results as-is either. When an AI agent summarizes information about a client, have it record the URLs of the pages it read. People can then open those URLs and confirm the content is correct. This matters because outdated pages or information about a different company can slip in. At first, have people compare several AI drafts and research summaries against the sources, learn where the AI tends to make mistakes, and only then expand what you delegate.

Email Drafting: The AI Drafts, People Send

When you give email work to an AI agent, stop at the draft. A person clicks Send. This split lets you catch wrong recipients, impolite wording, and factual errors before anything goes out.

For example, in the workflow automation tool n8n, the Gmail node can create, get, and delete drafts. It can also send and reply to messages. If you use only draft creation, the AI-written email lands in Gmail drafts, and a person can open it, check it, and then send it.

If you want the AI agent to go as far as sending, add an approval step before sending. n8n has a feature that requires human approval before an AI agent uses a specific tool. Approval requests arrive in Slack, Telegram, the n8n chat interface, and other channels. If approved, the action runs; if rejected, it is canceled. The official documentation gives irreversible actions such as sending messages as an example use of this feature.

Replies to Inquiries

Replies to inquiries are emails an AI agent can handle well. The other party contacted you first, so the question is clear. Give the AI your FAQ answers, product materials, and reply templates. For questions the materials do not cover, do not let it invent an answer; have it write only a line saying the inquiry will be passed to a staff member.

Emails to Prospects

For emails to people you do not yet do business with, have the AI research the company's public information and attach the key points to the draft. A person reads those points and decides whether to send and what to say. If the email will include promotion, first check the anti-spam email rules in the next section.

  • What goes into the draft: recipient, subject, body, and the materials referenced
  • What people check: recipient name and honorifics, prices and dates, and that nothing promises what you have not agreed to
  • What not to give the AI: your full confidential price list, or other clients' names and terms

Automated Email and Japan's Anti-Spam Email Law

If you send advertising or promotional emails automatically, follow the Act on Regulation of Transmission of Specified Electronic Mail (Japan's anti-spam email law). According to materials from Japan's Ministry of Internal Affairs and Communications (MIC), promotional emails may, in principle, be sent only to people who have agreed in advance. This is called the opt-in system. Emails sent to promote someone else's business are also covered.

The exceptions include people you have a business relationship with and people who gave you their address in writing, such as on a business card. People who publish their address on the internet are also an exception, but for individuals this applies only to individuals running a business. If they also state publicly that they refuse promotional email, you may not send without consent.

You must keep records showing that you obtained consent. The retention period is one month from the last day you sent promotional email based on that record. If you have received a corrective order, it becomes one year.

  • Required disclosures: the name of the sender or other responsible party, a statement that the recipient can opt out, and the email address or URL for opting out
  • Once you receive an opt-out notice, you may not send again
  • Sending with a falsified sender email address, domain name, or similar is prohibited
  • Messages sent to phone numbers, such as SMS, are also covered

You can have an AI agent research contact details for prospects. Whether you may send promotional email to the addresses it finds is a separate question. People decide the recipient list by checking it against the consent records.

Rather than having the AI write the required disclosures each time, fix them as a standard footer at the end of the email. That way, even if the AI rewrites the body, the sender name and opt-out contact do not disappear. Also set a procedure for removing addresses that opt out from the recipient list.

Quotes: Price Lists and an Approval Flow

When you give quote creation to an AI agent, do not let the AI work out prices. Prepare a price list. The AI picks items and quantities from the inquiry and applies them to the price list. People decide and enter discounts and special terms.

Keep the price list in one place, in a form the AI can read. A spreadsheet works. If you standardize item names, the AI can match them even when inquiries use different wording. When you change a price, record the date you updated the list.

You can also register quotes directly in invoicing software. The freee invoicing API (a Japanese accounting service) can create and retrieve quotes. The Money Forward Cloud Invoice API (another Japanese service) can create, retrieve, and update invoices. Check what your software's API can do in its official reference before you build the workflow.

For items not on the price list, or inquiries where the quantity is unclear, do not let the AI guess; send them to a person. A guessed price that goes out as-is is hard to take back.

Rules for Handling Customer Information

Sales emails and quotes contain customer names and contact details. Japan's Personal Information Protection Commission (PPC) issued an alert on the use of generative AI services on June 2, 2023. It gives two points for businesses.

  1. When you enter prompts that include personal information, confirm that this is within what is necessary to achieve the specified purpose of use
  2. If you enter personal data without the person's consent and it is handled for purposes other than generating the response, this may violate the law. If you enter it, confirm, for example, that the provider does not use the data for machine learning

The Sales Support Category on Employee Store

FAQ

Can I let an AI agent send emails automatically?
For internal messages or routine notices to existing clients, you can automate sending with an approval step before each send. Promotional emails fall under Japan's anti-spam email law and, in principle, may be sent only to people who have consented. You also need to keep consent records and display the sender's name and opt-out contact.
Can I let the AI set the prices on a quote?
We recommend having prices applied from a price list and leaving discounts and special terms to people. For items not on the price list, do not let the AI guess; send them to a person.
Can I give customer names and contact details to the AI?
Confirm that it is within your purpose of use, and confirm, for example, that the AI service provider does not use the data for machine learning. The June 2, 2023 alert from Japan's Personal Information Protection Commission sets out points for businesses.
