An n8n workflow that detects and notifies you of shipping delays and customs hold issues
This is an n8n workflow where the AI periodically checks shipping data and, upon detecting delays or customs hold issues, drafts notification messages to the responsible staff and customers. Detected Exceptions ・Delays where the scheduled delivery date has passed ・Customs hold ・Delivery confirmation (receipt) not received ・Tracking information not updated Exceptions are determined by predefined rules (not left to AI speculation). This ensures you always know exactly why a particular shipment was flagged. What the AI Generates for Each Exception ・A brief summary for internal use, including recommended actions ・A notification message for the customer (written solely based on actual shipment data; nothing is included that isn’t there) Next Steps ・High-priority issues (customs hold, significant delays) are emailed to the dispatch and logistics coordinators ・All other routine updates are emailed directly to the customer ・All exceptions are recorded in a spreadsheet ・We ensure that no duplicate notifications are sent for the same shipment within a 12-hour period Ideal Users Teams at freight forwarders, 3PLs, logistics departments, and similar organizations that prefer to be notified only when action is required, rather than constantly monitoring shipments. Required Environment ・n8n (self-hosted or cloud-based; version 1.60 or higher recommended) ・A Google Cloud service account capable of using Google Sheets ・A Groq API key (The free tier is sufficient for testing) ・An email account capable of sending via SMTP (a Gmail app password is also acceptable) Setup Process 1. Import the workflow JSON into n8n 2. Create a Google Spreadsheet with two tabs—one for shipments and one for records—and grant the service account edit permissions 3. Register the Google, Groq, and SMTP credentials in n8n and assign them to the respective nodes 4. Configure the sender and recipient email addresses and time zone to match your company’s settings 5. Verify functionality using sample data, then set the execution interval and enable the workflow Although the data source is a Google Spreadsheet, you can connect to your company’s TMS, tracking service, or database by adjusting the settings. Deliverables ・n8n workflow (JSON) ・Setup guide (English) Please direct any post-purchase questions to the seller via the transaction room.
